Looking to promote your cultural activities in the Brussels-Capital Region? The first step is to upload them to www.extranet.brussels. It's free, easy and effective!
Add your event
Agenda by visit.brussels is the capital's essential events calendar, consulted by millions of visitors every year
and used by a large number of other cultural communication media.
Best practices to ensure the best possible exposure:
- Communicate in several languages (NL, FR, EN).
- It's best to upload your events as early as possible, to ensure efficient broadcasting on the web and with our partners.
- Adapt your texts for the web: short, engaging content, targeted keywords, etc.
- Add eye-catching, copyright-free and text-free HD photos in landscape format (not just posters!).
- Sell your tickets via our ticketing service!
FAQ
1 - REQUEST ACCESS TO THE EXTRANET – CREATE A NEW ACCOUNT
- I prefer not to share my personal information. Can I register?
We need this information to contact you in case we need to report a problem. Your personal information will only be used internally and will not be made public.
- I can’t find my organisation/project in the dropdown list. What should I do?
Click on “add an institution”. Fill in the form with the public information of the institution you represent. Then click the blue “Register” button.
- How can I check if my institution already exists in your database?
Type a keyword or part of your institution’s name and suggested matches will appear.
- I created a new account, but it hasn’t been validated yet.
Validation takes place during office hours, from Monday to Friday, excluding holidays. Normally, validation is completed within 24 hours. Check the inbox of the email account you used to register and its spam folder.
- I lost my password.
You can reset it by entering the email address you used when requesting access.
- I received my new password, but it doesn’t work.
If you copied and pasted your password, you may have copied a space at the end. Remove it and try again.
- I would like to take over a colleague’s account. Is this possible?
It is important for us to communicate directly with you. Therefore, it is preferable to create your own personal account. Don’t forget to inform us if a colleague no longer works with your organisation, so we can keep our contact details up to date.
2 - UPLOAD YOUR EVENTS
GENERAL INFORMATION
- My event takes place at a different address to that of my institution. What should I do?
Click in the “Place” field and type a keyword or part of the venue name. Suggestions will appear.
- I can’t find the venue, even though it’s well known. How is this possible?
Check if you are using the official name of the venue. If the name differs across languages, search in the language of the extranet environment you are working in. To change the language, click “language” at the top right.
- I can’t find the venue. Can I add new locations?
Click “Add your institution” and fill in the form with the venue’s public data.
DATE AND TIME SCHEDULE
- I am organising a series of activities at the same location but on different days and times. The content is always the same. Is there a way to avoid entering the same activity 10 times?
Choose the “Unique dates” schedule option. Set the date of the first activity as the start date and the date of the last activity in the cycle as the end date. Then add the different dates and times by clicking “Opening hours by day, add.”
- I filled in the dates and times, but some dates appear in red and I can’t proceed past this step! What’s the problem?
Check if these dates are within the period between the start and end dates you just entered. Modify if necessary and click the blue “Next” button.
- I’m organising a class in a single location. The activity takes place twice a week at fixed days and times. Do I need to upload each class individually?
Set the date of the first class as the start date and the date of the last class in the cycle as the end date. Choose the “recurring event” date schedule and indicate the fixed days and times.
DESCRIPTIONS
- The texts of my event aren’t displayed correctly; some information is missing.
Check for special characters, emojis, or GIFs in your text and remove them. Don’t forget to click “Save and Next” at the bottom of the page!
- I filled in all description fields, but on your website the information is repeated. How can I avoid this?
Do not put descriptive text in the “participants” field – it’s reserved for artist names. Write a short, engaging sentence in the short description (displayed in a larger font). Expand the content in the long description. Include practical info such as dates, times, prices and location in the other, corresponding steps.
- On your site, my English text is preceded by: “The content of this event was not available in your language.”
You entered your text in the wrong language field. Click “Show translations” and cut/paste the text into the English language field. By doing this, it will be published correctly on our Dutch and French pages, preceded by “De inhoud van dit evenement is niet beschikbaar/ Le contenu de cet événement n'est pas disponible dans votre langue”.
- I organise an event in a foreign language. An English translation is provided. I have texts in English, Dutch and in the foreign language. How can I upload this activity?
For activities where language understanding is important, communicate only in the language(s) of the activity and its translations. Copy/paste the texts in English and in the foreign language in the English fields.
CONTACT & PRICING
- Our institution applies preferential rates and we apply a pay-what-you-can policy. How should I indicate this in your price categories?
Preferential rates are displayed. Check the boxes of the ones applicable. We show the standard price categories and several free categories. If needed, mention unclassified pricing in the long description.
- The link to our external ticketing service isn’t displaying. Why is that?
Links to external ticketing services are automatically removed, except when it’s our own ticketing service, ticketing.brussels.
AUDIENCE
- I entered our event open to all audiences. Should I check all the audience options you display?
Target audiences should only be specified if your activity is intended for a specific audience: visually impaired, LGTBQIA, children, etc.
MEDIA
- I can’t add my photos. What’s happening?
Check the box regarding the publication rights of your photos and click “Publish this photo.” Use accepted formats (JPEG/PNG/SVG) with a minimum resolution of 500x500 pixels and a maximum file size of 10 MB.
- I added photos and a poster, but they are not displaying properly on your website. What is the ideal format?
Our publishing tool adapts to different devices (PC, laptop, phone, tablet…). It is preferable to use photos without text, in landscape format. For those with text, upload them in the “posters” section.
THE ‘PROGRAMME’ TAB IN THE FESTIVAL CATEGORY
- I organise an event around a common theme with multiple related activities (workshops, a creators market, concerts and various pop-ups). How can I ensure optimal visibility?
Enter the main event in the festival category. Then create a new event for each activity in its corresponding category (concert, courses and workshops, etc.). After about half an hour, you can link all activities in the “Programme” tab of your main event in the “Link an existing event” field. The festival and its programme will be visible on the same page.
VALIDATION REQUEST
- I created an event and requested validation, but it hasn’t been published yet. How long do I have to wait?
Validation takes place during office hours from Monday to Friday, excluding holidays. Normally, validation is completed within 24 hours. Your event will be published within half an hour after validation. Check the inbox of the email account you used to register and its spam folder. We may have tried to contact you to report a problem.
- I requested validation but want to make changes. Is this still possible?
You can modify and/or add info, texts and photos at any time, before or after validation. Click directly on the category you want to modify in the menu on the left. Don’t forget to click the blue “Save and Next” button at the bottom to save changes.
- Why are my events marked as unpublished/deleted?
An email has been sent to you to report a problem. Check the inbox of the email account that you used during registration and its spam folder.
